Job Purpose
The office administrator will report to the department of human resources and will be responsible for providing administrative support to our managers and workers, aiding with daily office needs, and overseeing general administrative tasks. You will be responsible for supporting reception by answering basic questions/directing calls from the main office line and emails from the corporate account, scheduling meetings, and maintaining suitable filing systems using a variety of standard office software and office equipment.
Duties and Accountability
- Responding to all telephone and walk-in client concerns in a timely and professional manner
- Accepting and directing calls, offering directory assistance, and directing inquiries to the appropriate departments or individuals; managing voicemail and general inboxes.
- Daily filing, sorting, and redistribution of mail and couriers.
- Booking and overseeing the housekeeping staff to guarantee that all offices are cleaned promptly.
- Buying office goods and maintaining a supply inventory
- Ensuring that coffee supplies are delivered on schedule and equipment is frequently serviced
- Establishes and dismantles the necessities for sessions held in the boardroom.
- Helps with the arranging of travel and/or flights for Foreign Employees per request.
- Ensures that office equipment is fixed and maintained.
- Helps the senior leadership team with any administrative support that may be required, such as expense tracking for Credit Cards, drafting memos/announcements, taking minutes, etc.
- Collaborate with Human Resources to actively track and maintain Air Cargo security checks, as well as provide document management help when necessary.
- Responsible for reserving rental vehicles, organizing documentation for company vehicle use, and arranging delivery and return.
- Other tasks as assigned.
Qualifications of Office Administrator Jobs In Canada 2023
- Two (2) years of direct experience in a managerial role
- Education above high school in Office Administration with at least 2 years of related experience
- Expertise with Microsoft Office Suite products and advanced computer abilities (e.g., Outlook, Word, Teams)
- Excellent analytical skills with a keen eye for detail and precision. Good problem-solving skills
- Superior writing, oral, and comprehension abilities
- Capability to work efficiently (while preserving accuracy and sensitivity) under strict deadlines and schedules.
- Demonstrated ability to simultaneously manage several activities and projects
- A constant learner who is eager to embrace change and work in an environment that is highly flexible and adaptable to take on more responsibilities.
- A driver’s license must be valid.
- The ability to communicate with a Spanish-speaking workforce in Spanish is an asset.
